Role Overview:
In this role, you will support the Executive Management Change Committee (EMCC) and Demand Lead, which is part of the Americas Project Management Organization under Technology, in managing the process of onboarding new projects for IT review and approval (The Demand Process) and supporting the review of projects.

You must be a self-starter who can work independently and manage relationships indirectly with project managers and senior business and IT stakeholders.

Primary Responsibilities:

  • Ensure projects are aligned with defined strategic targets, with the required level of detail for thorough review and effective challenge by stakeholders and impacted parties.
  • Create and manage meticulously drafted documents and communications, ensuring risks, assumptions, and dependencies are documented, managed, and communicated across appropriate governance channels.
  • Support the management of the prioritization process for Tier 1 (highest priority) initiatives.
  • Oversee the quality assurance process for project intake data submitted for review by the EMCC.
  • Manage the budget review and approval process with the Finance Team for approved projects through the demand management budget process.

Additional Responsibilities:

  • Prepare PowerPoint presentations and confidently present to varying audiences for trainings and updates.
  • Maintain and update process and training documents.
  • Ensure business sponsors and project managers adhere to firm-wide governance standards for Demand Management.
  • Create process flow charts for Governance Standards, training materials, and management decks.
  • Perform requirements gathering and business analysis for projects aimed at enhancing the Demand and Intake Process

Major Responsibilities:

  • Manage project intake and update processes, ensuring seamless and standardized communication with stakeholders to maintain effective processes and relationships.
  • Provide appropriate updates and information for senior management and other key stakeholders.
  • Provide end-to-end governance and oversight on the Demand Process.
  • Collaborate with Finance partners and management to manage the demand budget process and address new budget requests.
  • Engage internal clients to understand their needs and determine how to provide governance and support for new project submissions.
  • Gather and interpret user requirements.
  • Create and maintain accurate process documents, reports, metrics, RACI models, and workflows.
  • Promptly escalate any delays or issues, addressing conflicts effectively.
  • Assist project teams in creating intake forms with accuracy, meeting project detail and budget requirements.
  • Develop strong presentations using PowerPoint and Visio for senior management, training sessions, and new rollouts.
  • Negotiate with stakeholders, prioritizing tasks as required.
  • Keep project stakeholders informed using appropriate tools.
  • Produce meeting minutes, conduct face-to-face meetings, and build strong professional relationships.
  • Identify and manage risks, recognizing issues and proactively mitigating their impact.
  • Manage meeting communications and documentation.

Required Qualifications:

  • Bachelor’s degree in Business or a related field.
  • 5-7 years of work experience in a Project Manager or Business Analyst role.
  • Strong understanding of end-to-end project lifecycle.
  • Extreme attention to detail with effective presentation skills.
  • Proven ability to prioritize and effectively manage multiple tasks.
  • Capable of working independently and within a team environment.
  • Cross-functional experience or exposure to multiple business services/corporate functions.
  • Strong business, analytical, quantitative, problem-solving, and decision-making skills.
  • Excellent stakeholder management skills, including experience working across multiple functions and committees.
  • Superior communication skills, both written and oral, with technical and non-technical staff.
  • Solid knowledge and expertise in project management methodologies and tools.
  • Tolerance and understanding of multicultural work environments.
