Administrative Assistant

The Administrative Support Specialist position will provide assistance to the Office of the Deputy Administrator for Management and Budget (ODAMB) with tasks such as scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the executive and its team perform their job.

Major Duties:

  • Managing the scheduling for the Senior Executive of the Office of the Deputy Administrator for Management and Budget (ODAMB)
  • Drafting, reviewing, and send communications on behalf of the Office of the Deputy Administrator for Management and Budget (ODAMB)
  • Organizing and preparing for meetings, including gathering documents and attending to logistics of meetings – to include Zoom, MS Teams, and other virtual meeting expertise
  • Answering and responding to phone calls, communicating messages and information to the Office of the Deputy Administrator for Management and Budget (ODAMB)
  • Prioritizing emails and responding when necessary
  • Creating, updating, and maintaining spreadsheets
  • Assisting with correspondence routing of Documents via DocuSign
  • Coordinating travel arrangements
  • Maintaining various records and documents for the Office of the Deputy Administrator for Management and Budget (ODAMB)
  • Preparing written documentation, as requested
  • Assisting in writing Standard Operating Procedures (SOP) and other procedural documents;
  • Attending meetings and capturing and distributing minutes derived from the meeting;
  • Generating reports depicting outcome and effectiveness following completion of task/meetings/etc;
  • Maintaining central document control for all papers (SOWs, contracts, etc) and maintains an accurate and current library of technical resources and documentation.
  • Organizing material and complete writing assignment according to set standards regarding order, clarity, conciseness, style, and terminology.

Administrative Support Specialist Skills and Qualifications:

High school diploma or GED, or bachelor’s degree.
