Job Description:
Support the President of North America and provide additional support to his leadership team. Use their judgement to ensure that company goals and objectives are accomplished and that operations run effectively. Plan and orchestrate work to ensure that leader's priorities are met, organizational goals are achieved, and best practices are upheld. Responsible for enabling and advancing company initiatives by filtering and attending to the day-to-day functions for the leader and the team. Maintain and refine internal processes that support organization ecosystem, coordinate and seamlessly communicate with internal and external stakeholders on a need basis.
• Maintain President's calendar, including scheduling meetings, appointments, speaking engagements, and travel (includes domestic and international) arrangements.
• Manage leader's travel logistics and activities, including accommodations, transportation, and meals and promptly course correct and steer to closure for unexpected changes.
• Liaise with customer / CXO's offices to schedule meeting and manage correspondence.
• Work on a variety of special projects which may include creating PowerPoint presentations, special reports, and agenda material and collaborate with multiple stakeholders.
• Coordinate complex scheduling and calendar management, as well as content and flow of information to the leader.
• Prepare, reconcile, and submit expense reports for the President and support as delegate approver for his unit and team.
• Organize, plan and support events and meeting with internal team and customers.
• Compose and prepare letters related to routine correspondence and annual events.
• Schedule meetings and assist in the preparation and distribution of meeting agendas and materials.
• Routinely perform a wide variety of support duties including but not limited to printing, faxing, mail/overnight packages, copying, filing, email/messages, sorting and maintaining e-mail and address directories
• Other additional and/or alternative duties as assigned from time to time, including supporting other units or Executives as needed.
• Determine priority of matters of attention for the President; redirect matters to relevant stakeholders, or handle matters personally, as appropriate.
• Keep the leader advised of time-sensitive and priority issues, ensuring appropriate follow-up.
• Maintain professionalism and strict confidentiality with all communication and materials.
Qualifications:
• Minimum 10 years of Executive Assistant experience and 4 or more years of experience in supporting C-Suite executives.
• Experience of liaising with customer/CXO offices.
• Demonstrated history of working in technology companies and project management skills would be a plus.
• Excellent written and verbal communication skills
• Proficient with MS Office applications: Word, Excel and PowerPoint
