Summary

client is seeking a talented and enthusiastic Experiential Marketing Junior Coordinator to support in the planning and execution of our high-impact activations. This role provides a unique opportunity to gain hands-on experience with global B2B and B2C event production while working with a globally-recognized entertainment brand.

Responsibilities

The ideal candidate for this role demonstrates impeccable organization, logistics implementation capabilities, a professional communication style, and demonstrable follow-through.

o Assist in the planning and execution of experiential events, including industry tentpole trade shows, product launches, internal alignment summits, partner demo experiences, and more

o Provide overall program management and logistics support, including: support stakeholder meetings, create briefing documents and surveys, maintain up-to-date status documents, manage scheduling, liaise with vendors, manage contract workflows and expenses, build scheduling tools, oversee creative delivery and swag production.

o Stay up-to-date with industry trends and communicate fun, interesting event ideas to the Experiential Marketing Team

o Effectively manage and prioritize competing asks, intake feedback and direction, and manage tasks per deadlines

o Proficiency with Microsoft Suite (Outlook, Word, Teams, Excel, PowerPoint)

o Aptitude to learn tools and platforms (this role will be hands on with Smartsheet, Airtable, Miro, event registration platforms, Concur, and survey tools).

Other necessary qualities are:

o Experience in events, customer service, and/or hospitality; we say this, but, attitude and logistics/organizational skills are most critical – please apply even if Marketing or Communications was not your major!

o Comfort in high-pressure, high-visibility moments and an ability to stay calm and solution/action-oriented in those moments

o Passionate about events, experiential, and/or guest experience

o Desire to learn, grow, and push the boundaries

o Self-starter with a positive and solution-oriented demeanor

· Requirements:

* LOCAL San Francisco candidates only who can be onsite at the 1275 Market San Francisco office as needed – at least once a week

* Length of Assignment: Initial 12 months but possibility of extension depending on performance and team fit

* Travel expected both local and global, up to 25% - manager cannot say where exactly, will depend on marketing priorities over the course of the year. All approved expenses can be reimbursed.

* Will be on client's 9/80 schedule but should be flexible depending on the events on the calendar - must also be available to occasionally work evenings and weekends. If the candidate cannot commit to this, they should not be considered/submitted to this req.

* Team is global so there will be times this role will have meetings with APAC or EMEA.

NOTES:

o The Experiential Marketing team handles all large-scale events for client, ex. CES and partnership concerts (5,000 attendee Imagine Dragons concert in 2023). They get to do all the cool stuff at client because they can experiment and hold demos of new technology during events.

o Very much a “one team, one dream” team. Looking for someone who is team oriented without ego and willing to do all reasonable tasks to ensure the events are successful. All hands-on deck, all the time.

o Not a typical 9-5 schedule team - as is typical with the events industry, there is an ebb and flow of schedule depending on the events that are being supported

o Able to multitask and be extremely detail oriented

o A lot of budgeting and billing and managing contracts and vendors; organized and able to follow up on tasks without being prompted to

o Candidate should be available to work between Christmas and New Year’s as that is CES preparation time, a major event for client.

o Entry level position:

o Manager open to candidates who have the right skill set but looking to change careers.

o Manager would love to see candidates who have worked in the service industry with some type of event experience as they can work well in high-pressure, high stress jobs. Able to stay calm and make good decisions under pressure; knowledgeable with how to handle people.

o Possible fit, previous experience as Events Coordinator or similar

o Manager looking for candidates who are detail oriented and organized, have excitement to learn, have a positive attitude and willing to do the work for positive gains
