Job Summary:

The Role

Client is looking for a highly motivated Operating Discipline Management System/Training Coordinator. This position’s primarily responsibility is to work with the Operations Manager to help support group in Austin, TX.

 

The position will lead the successful implementation and utilization of the Operating Discipline Management System. The role will ensure training program is meeting plant goals. The role will also be the focal point for document management. 

 

Responsibilities

  • Operate as a central contact for all document control issues, support, and ongoing management of the system.
  • Provide document management support to Operations and Manufacturing teams, ensuring that final and working documents are readily accessible to team members.
  • Create and manage approval workflow for final procedures, documents, records, and drawings.
  • Publish weekly reports and logs identifying open workflows, mail items, submittals, and other documents.
  • Work with team members to ensure proper maintenance and retention of all qualifying documents and information.
  • Provide document management training to all team members as part of the on-boarding process, both in person and virtual sessions
  • Ensure that document retention and review systems are compliant with internal and external standards, including ISO 9001 
  • Maintain flexibility to provide additional support as requested or required bases on individual production and manufacturing needs.
  • Leads and maintains overall management systems implementation plan.
  • Leads management systems self-assessments.
  • Acts as organization subject matter expert for the overall management system.
  • Measures and tracks management system performance and leads self-assessments.
  • Coordinates the development and implementation of plant draining programs to ensure compliance is achieved for all training policies and requirements.  
  • Leads the onboarding of new employees and contractors into the plant.
  • Ensure all required training records are up-to-date and maintained.

 

Requirements

  • Experience in chemical/ industrial manufacturing setting.
  • Needs to be knowledgeable on Operating Discipline Management Systems in a chemical/oil & gas manufacturing processes and have a strong understanding of why these processes are in place.
  • Experience training team members and creating training programs.
  • Looking for someone who has a background in doc admin, training, and management system coordination.
  • Advanced SharePoint experience
  • Proficiency in Microsoft office suit (SharePoint, MS Teams, OneNote, PowerApps, etc.)
  • Detail-oriented with exceptional organizational skills.
  • Demonstrated problem solving ability in cross-functional environment.
  • Innovative, Open-minded, collaborative, and a team-oriented attitude
  • Strong work ethic: ability to work long hours, evenings and weekends as needed.
