The role still includes the BC elements but also now includes operational team support. The candidate should be able to flex and support both finance related tasks and operational tasks supporting 4 MCELs.
Since our team supports Publications and Scientific Content tactics in the SCE organization (Medical Communications), the ideal candidate would have experience working at a Medical Communications company and/or Pharma.
Job Description:
Position Summary:
- Project Coordinator serving as point of contact to the Medical Communication Execution Leads (MCELs).
- Responsible for transactional-level financial management of the Scientific Communications & Engagement teams’ budget for WW, US, Markets, and project tasks related to, congress activities, Datavision, and publication and content databases.
Key Responsibilities:
- Understand client’s budget process per therapeutic area and how the book of work will be delivered within budget.
- Interface with Finance team to resolve invoicing issues and troubleshoot various finance related situations, as needed.
- Process SOWs through client’s systems to obtain Service Order #
- Reconcile and close out Service Orders within required timelines.
- Generate financial status reports for distribution to WW, US and Market publications and content leadership, Finance, Medical Project Managers, and other internal/external stakeholders.
- Serve as a trusted advisor to the MCELs to reconcile budgets discrepancies, troubleshoot invoicing and SO issues.
- Process all Agency partners on and offboarding requests.
- Support with Datavision related tasks such as completing author debarment checks, running reports etc.
- Additional ad hoc and operational support as requested by the MCELs to support overarching therapeutic areas BOW, including project tasks related to congress activities, Datavision, and publication and content databases.
Qualifications & Experience:
- Two to four years’ professional work experience; college degree preferred.
- A minimum of 1–2 years’ experience preferred in Medical Communications agency and/or Pharmaceutical/Healthcare industry experience.
- Analytical or financial background preferred.
- Experience managing work to meet important deadlines; ability to manage tasks, projects, and timelines.
- Extremely detailed-oriented, and excellent organizational & time management skills
- Must be able to work cross-functionally, prioritize multiple tasks in a deadline-driven environment.
- Proficient knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, collaboration tools)
- Experience with electronic routing and accounts payable
- Experience with SAP and Ariba, Icertis, RPM preferred; proven ability to learn new technologies.
- Ability to work in a fast-paced environment with all levels of management.
