Project Description
The State of Rhode Island is implementing both Workday Finance and HCM ERP modules. The ERP Finance Project Manager will work with the implementation vendor and State Project Management team to manage the implementation of Workday modules. The Project Manager monitors the ERP Program Management Plan, including project objectives and success criteria, deliverables, role/responsibilities/contact information, document control methodology, and risk, cost, schedule, and quality management plans. They work with multiple project managers and business analysts to ensure clear documentation of business, functional, technical, and performance requirements that are understood without ambiguity, and that represent current State and Federal regulations and statutes. Specifically, the Project Manager works with the State Finance team on the implementation of the Finance module of Workday’s ERP for the Department of Transportation and other activities as assigned.

The Project Manager will work with the vendors, project managers, subject matter experts, and internal and external stakeholders to:

 

  1. Maintain master documentation of overall system functionality.
  2. Manage multiple workstreams with multiple vendors and State stakeholders.
  3. Work with multiple project managers on State and vendor teams to ensure timely and coordinated delivery of deliverables and various portions of the project.
  4. Maintain integrated, master schedule.
  5. Monitor timely completion of tasks by vendors and the State.
  6. Document the application support procedures for internal and external users.
  7. Monitor the documentation and quality of business processes and workflows developed.
  8. Ensure comprehensive documentation is developed and maintained by the vendor.
    1. This includes documentation on role-based permissions.
    2. Procedures for adding/removing user accounts.
    3. Reports identified by the Business stakeholders.
  9. Review deliverables provided by vendors to ensure quality of deliverables prior to approvals.
  10. Establish and maintain a RAID log.
  11. Establish and maintain a RACI matrix along with the vendors and the State Project Management team.
  12. Create and update weekly status reports.
  13. Document and report on changes in scope of the project and ensure change control process.
  14. Communicate delays and obstacles that may compromise or delay the project.
  15. Provide periodic updates to State Project Management and Vendor Management teams on vendor performance and deliverables.
  16. Manage budget and financial process of the program.
  17. Schedule and facilitate project meetings and distribute meeting meetings, in coordination with vendor.
  18. Oversee configuration of system per business specifications.
  19. Oversee testing and validation of the system to ensure successful completion of configuration, regression, performance testing as well as planning of User Acceptance Testing.
  20. Ensure vendor resolution of defects through the testing phase.
  21. Work with Change Management and Agency Readiness teams to ensure training, delivery, and implementation of the ERP project
