Hi All,
Role: Staff Aug Data Center Door Upgrade RFI Coordinator
LOCATION: Pierre, SD, or Remote. The interview process will begin with a virtual meeting. The State may require an on-site interview if a candidate is selected for a second interview.
DURATION: 6 to 8 months; may be extended or terminated based on contractor performance and State needs.
REPORTS TO: Tom Wempe and interfaces with senior leadership to provide status updates on a scheduled basis.
RESOURCES: This project will require 300 to 400 hours in a 6-to-8-month period. An average week could fluctuate between 8 and 20 hours depending on workflows, resource experience, and vendor requirements.
Candidate must have a reliable internet connection.
RESPONSIBILITIES/DUTIES
- Gather, document, and organize technical/IT RFI responses from vendors.
- Score and track initial information from vendors according to predetermined RFI requirements.
- Coordinate, take minutes, and perform selection criteria tracking for first-pass reviews to select a short list of door security vendors meeting the State’s standard required.
- Attend, take minutes for, and perform selection criteria tracking for second-pass reviews using the State’s standard technology and vendor review process.
- Coordinate weekly meetings with State employees, subject matter experts, and leadership weekly during the selection, coordination, and project implementation phases.
- Ensure high-quality preparation and production of all written materials.
- Fill out and cross-reference the evaluation/scoring criteria and matrix for each RFP for comparative scoring reviews.
- Develop and maintain a project plan for the statewide implementation of the selected vendor’s door security system and related tasks such as training and follow-ups.
- Assure the State’s project plan and the selected door security vendor’s project plan remain in sync for deliverables, client site visits, training dates, etc.
- Capture minutes from meetings with vendors and stakeholders.
- Participate in bi-monthly and monthly status reports.
- Draft communications to clients, including but not limited to notifications and follow-up surveys, to confirm work is done correctly and gauge client satisfaction.
QUALIFICATIONS
- Bachelor’s degree, diploma, or equivalent experience in Communications, Business Administration, Information Technology, or relevant field.
- Strong, proven organizational and project management skills.
- Strong interpersonal skills that create a positive work environment and gain the trust of colleagues.
- Good written and verbal communication skills.
- Results-driven with a desire to work in a fast-paced environment.
EXPERIENCE
- Experience writing technical documentation, project plans, status reports, and other communications.
- Experience utilizing technical/IT RFI or RFP evaluation/scoring criteria and matrix for RFPs and/or RFIs, etc.
- Experience facilitating the evaluation/scoring process with multiple scoring members for technical/IT RFPs, RFIs, etc.
- Ability to communicate with people across the organization at all levels.
- Skilled at holding vendors accountable for timelines, deliverables, and costs.
- Good written and verbal communication skills.
- Performs functions with minimal supervision.
